Best For: Document analysis, content creation, coding assistance, research synthesis, and detailed explanations. Particularly valuable for businesses needing thoughtful, well-researched responses or help with complex documents.

Data Cutoff: The training data was cutoff August 2025.

ChatGPT

ChatGPT, developed by OpenAI, is a versatile AI chatbot that's become synonymous with accessible AI technology. It offers both free and premium versions, making it a flexible choice for organizations with different needs and budgets.

Strengths: Excellent at general knowledge tasks, creative writing, and basic coding. The premium version (GPT-4o) offers enhanced capabilities and can analyze images. The free tier now includes web search for current information.

Best For: General content creation, brainstorming sessions, customer service scripts, and basic research tasks. Ideal for organizations just starting with AI implementation.

Data Cutoff: The core training data was cutoff April 2023, but the free tier now includes web search access for current information.

Price: Free to start, though OpenAI has announced that ads will appear in the free tier. The Plus Plan ($20/month) removes ads and extends limits for messages and file uploads, and includes image generation and voice mode.

A note from Cochise AI: I cancelled my OpenAI subscription in March 2026 and no longer use or recommend ChatGPT as a primary tool. My reasons are explained in the blog post OpenAI Has Forgotten What It Was Built For. ChatGPT remains a capable tool and is included here for completeness, but Claude is my recommendation for nonprofits and educators.

Microsoft Copilot

Microsoft Copilot combines the power of OpenAI's GPT-4o with real-time web access and deep integration into Microsoft's suite of productivity tools. It stands out for providing current information while working seamlessly within Word, Excel, Outlook, and Teams.

Strengths: Real-time web searching, image analysis, and native integration with Microsoft Office applications. Particularly strong at drafting documents in Word, analyzing data in Excel, and managing email and calendar tasks in Outlook.

Best For: Organizations already using Microsoft tools who want to add AI capabilities to their existing workflow. The combination of Copilot and Microsoft 365 is especially powerful for grant writing, donor communications, and board reporting.

Data Cutoff: Because Copilot includes real-time web search, it is not limited to a fixed training cutoff date.

Nonprofit Advantage: Microsoft runs a robust nonprofit program that provides free or deeply discounted Microsoft 365 licenses to qualifying organizations. Nonprofits that already receive Microsoft 365 through this program can often add Copilot at a significantly reduced rate — well below the standard commercial price. Price: Copilot Pro starts at $20/month for individuals. Organizations on Microsoft 365 business plans may add Copilot at $30/user/month at standard pricing, with nonprofit discounts available through the Microsoft for Nonprofits program.

Google Gemini and the Google AI Ecosystem

Google's Gemini is more than a single AI chatbot: it's the foundation of a growing suite of AI tools woven throughout Google's existing products. For nonprofits already using Google Workspace (Gmail, Drive, Docs, Sheets, Slides), Gemini represents an opportunity to add powerful AI capabilities with minimal disruption and, in many cases, no additional cost.

Strengths: Deep integration with Google products, real-time web search via Google Search, image generation, and strong multilingual capabilities. Gemini can draft emails in Gmail, summarize documents in Drive, and analyze data in Sheets. The free tier is generous and capable for everyday tasks.

Best For: Organizations already using Google Workspace who want AI assistance built into their existing workflow. Also well-suited for research tasks thanks to Gemini's native Google Search integration, which keeps its information current.
